Administrative Responsibilities
1. Document Management:
o Maintain and organize site documentation, including permits, contracts, and regulatory compliance records.
o Ensure timely updates and proper storage of documents.
2. Reporting:
o Prepare and submit regular reports on site activities, progress, and issues to management.
o Maintain logs and records of site operations and incidents.
3. Communication:
o Serve as a liaison between site personnel and the main office, ensuring clear and efficient communication.
o Coordinate meetings, including preparing agendas and recording minutes.
Logistical Responsibilities
1. Resource Coordination:
o Manage the allocation and distribution of resources, such as equipment, materials, and personnel.
o Monitor inventory levels and coordinate with suppliers for timely replenishment.
2. Travel and Accommodation:
o Arrange travel and accommodation for site personnel, including transportation and lodging.
o Ensure compliance with company policies regarding travel and expenses.
3. Facility Management:
o Oversee the maintenance and operation of site facilities, including offices, accommodation camps, and common areas.
o Ensure that facilities meet safety and operational standards.
Compliance and Safety
1. Health, Safety, and Environment (HSE):
o Ensure that all site activities comply with HSE regulations and company policies.
o Conduct regular safety audits and inspections, and maintain HSE records.
2. Training and Orientation:
o Organize and conduct orientation programs for new site employees and contractors.
o Coordinate ongoing training sessions on safety and operational procedures.
3. Incident Management:
o Assist in the investigation and reporting of site incidents and accidents.
o Implement corrective actions and preventive measures to avoid future incidents.
Financial Responsibilities
1. Budget Management:
o Monitor site expenses and manage the site budget.
o Prepare financial reports and forecasts for site operations.
2. Procurement:
o Oversee the procurement process, ensuring that all purchases are cost-effective and comply with company policies.
o Manage vendor relationships and negotiate contracts.
Coordination and Support
1. Project Support:
o Provide administrative support for site projects, including scheduling, resource allocation, and progress tracking.
o Assist project managers with documentation and reporting requirements.
2. Technical Support:
o Coordinate technical support services for site operations, including IT and engineering support.
o Ensure that technical issues are resolved promptly to minimize downtime.
3. Stakeholder Engagement:
o Engage with local communities and stakeholders to ensure good relations and address any concerns related to site activities.
o Participate in community meetings and represent the company in local events.

o Participate in the development and implementation of site emergency response plans.
