Description:
The Executive - Parts (Inventory Control / Procurement) is responsible for managing the procurement and inventory control of automotive parts, ensuring timely availability, optimal stock levels, and cost-effective procurement processes. This role supports the operations of the service, repair, and maintenance departments by maintaining a steady flow of spare parts, while also working closely with suppliers, logistics teams, and the sales department.
Key Responsibilities:
Inventory Control:
- Monitor and manage parts inventory levels, ensuring optimal stock levels to meet demand without overstocking.
- Conduct regular inventory audits and reconcile discrepancies.
- Manage parts inventory across multiple locations, ensuring proper storage, handling, and documentation.
- Develop and implement effective inventory control procedures to reduce wastage and obsolescence.
- Track fast-moving, slow-moving, and obsolete items and make recommendations to management on disposal, reordering, or redistribution.
Procurement:
- Develop and maintain relationships with suppliers and vendors for automotive parts procurement.
- Ensure timely procurement of parts, keeping in mind the cost-effectiveness and quality requirements.
- Prepare and process purchase orders for required parts and materials.
- Negotiate with suppliers for the best terms, prices, and delivery timelines.
- Track the status of orders, ensuring that parts are delivered on time and in good condition.
Order Management:
- Process customer and service department orders, ensuring the right parts are supplied at the right time.
- Collaborate with service teams to forecast parts requirements based on scheduled work.
- Handle urgent and emergency part orders with priority.
Stock Replenishment:
- Monitor and analyze stock levels and historical sales trends to ensure timely replenishment of stock.
- Work with the finance department to ensure budgets are adhered to and recommend cost-saving initiatives.
- Track lead times and anticipate shortages to ensure parts are reordered in advance.
Reporting and Analysis:
- Generate and maintain regular inventory and procurement reports for management review.
- Provide recommendations to improve parts supply chain operations and reduce costs.
- Track key performance indicators (KPIs) for inventory turnover, order accuracy, and supplier performance.
Collaboration and Communication:
- Coordinate with sales, service, and technical teams to ensure smooth parts flow.
- Communicate effectively with external vendors and internal teams regarding inventory requirements, supply issues, and part availability.
- Resolve issues related to supply chain delays, damaged goods, or shortages.
Key Skills & Qualifications:
Educational Requirements:
- Bachelor’s degree in Business Administration, Supply Chain Management, or related field. Relevant certifications in Inventory Management or Procurement are a plus.
Experience:
- Minimum of 2-3 years of experience in inventory control, procurement, or supply chain management, preferably in the automotive or related industry.
- Familiarity with ERP or inventory management software (e.g., SAP, Oracle, etc.).
Technical Skills:
- Strong analytical skills with the ability to forecast and analyze inventory trends.
- Proficient in MS Office Suite (Excel, Word, Outlook) and knowledge of inventory management software.
Soft Skills:
- Excellent organizational and time-management skills.
- Strong negotiation, communication, and interpersonal skills.
