Job Purpose

The Parts Procurement, Ordering & Planning Specialist will be responsible for end-to-end spare parts procurement, demand planning, ordering, and coordination with principals for multiple automotive brands. The role ensures optimal stock availability, cost efficiency, accurate ordering, and timely replenishment while maintaining strong relationships with OEM principals and internal stakeholders.

Key Responsibilities

Parts Procurement & Ordering

  • Manage end-to-end procurement of genuine and aftermarket automotive parts for multiple brands.
  • Prepare and place accurate purchase orders with OEM principals and approved suppliers based on demand planning and stock requirements.
  • Ensure compliance with principal guidelines, pricing structures, and ordering policies.
  • Track order status, shipments, and deliveries to ensure timely receipt of parts.
  • Coordinate with logistics, clearing agents, and warehouse teams for smooth inbound operations.

Planning & Inventory Management

  • Forecast parts demand based on sales trends, service requirements, historical data, and seasonal variations.
  • Maintain optimum stock levels to avoid overstocking or stock-outs.
  • Monitor slow-moving, non-moving, and obsolete inventory and recommend corrective actions.
  • Support annual and periodic inventory planning and stock audits.

Principal Coordination

  • Act as the primary point of contact for OEM principals for parts-related communication.
  • Coordinate on parts catalog updates, supersessions, price revisions, campaigns, and technical bulletins.
  • Resolve order discrepancies, shortages, backorders, and warranty-related parts issues with principals.
  • Participate in regular reviews and meetings with principals to improve supply chain efficiency.

Reporting & MIS

  • Prepare and analyze regular reports including procurement status, order tracking, inventory levels, ageing analysis, and cost reports.
  • Provide management with accurate data and insights to support decision-making.
  • Maintain proper documentation and records related to procurement, ordering, and principal communication.

Process Improvement & Compliance

  • Ensure adherence to company policies, internal controls, and OEM standards.
  • Identify opportunities for process improvement, cost optimization, and efficiency enhancement.
  • Support implementation and effective use of ERP/DMS systems related to parts planning and procurement.

Key Requirements

Experience

  • Minimum 8  years of experience in parts procurement, planning, and ordering within the automotive industry.
  • GCC experience is preferred, particularly within authorized dealership or automotive group environments.
  • Proven experience in handling OEM principal coordination for spare parts.
