Job Purpose
The Senior Executive – Parts Planning is responsible for ensuring optimum spare parts availability through effective demand forecasting, inventory planning, procurement coordination, and stock management. The role supports Retail, Workshop, Fleet, Outdoor Sales, and Wholesale operations by maintaining the right inventory levels while minimizing stock investment and maximizing parts availability.
The incumbent will work closely with vehicle manufacturers (principals), procurement, warehouse, sales, service, finance, and IT teams to ensure efficient parts planning processes, system accuracy, and continuous improvement of inventory performance.
Key Responsibilities
Parts Planning & Forecasting
- Develop accurate demand forecasts using historical sales data, market trends, seasonal demand, and business requirements.
- Prepare monthly, quarterly, and annual procurement plans.
- Maintain optimum inventory levels while minimizing excess and obsolete stock.
- Monitor fast-moving, slow-moving, and non-moving inventory and recommend corrective actions.
- Ensure high parts fill rates and service levels across all business channels.
Inventory Management
- Monitor inventory performance, stock turnover, aging inventory, and stock availability.
- Conduct periodic stock analysis and recommend replenishment strategies.
- Coordinate with warehouse teams to ensure inventory accuracy and stock integrity.
- Support cycle counts and annual physical inventory activities.
- Identify opportunities to reduce inventory carrying costs without affecting customer service.
Principal Coordination
- Liaise with vehicle manufacturers/principals regarding:
- Parts ordering
- Pricing updates
- Backorders
- Warranty and goodwill claims
- Campaign parts
- Monthly MIS and reporting
- Ensure compliance with principal policies and inventory requirements.
Systems & Process Improvement
- Utilize SAP, Oracle, or other ERP systems for inventory planning and reporting.
- Coordinate with the IT department on:
- SAP master data
- Inventory planning tools
- Process automation
- System enhancements
- Participate in digital transformation and continuous improvement initiatives.
Reporting & Documentation
- Prepare inventory and planning reports for management.
- Monitor KPIs including:
- Forecast Accuracy
- Inventory Turnover
- Service Level
- Fill Rate
- Order Lead Time
- Backorder Performance
- Inventory Aging
- Maintain accurate planning records and documentation.
Claims Management
- Coordinate warranty, shortage, damage, and pricing claims with principals.
- Ensure timely submission, follow-up, reconciliation, and closure of claims.

Minimum Requirements
Education
- Bachelor's Degree in Mechanical Engineering, Automobile Engineering, Supply Chain Management, Logistics, or related discipline.
- Diploma holders with extensive relevant automotive experience may also be considered.
Experience
- Minimum 8 years of experience in Automotive Spare Parts Planning or Inventory Planning.
- Mandatory GCC automotive dealership experience.
- Experience with multi-brand or OEM dealership operations is highly preferred.
